Design a successful flexible work policy with these simple steps

The home office took force with the arrival of the pandemic, what was thought to be something temporary has become a work alternative, which for some years the new generations were promoting, and is just being implemented definitively in various areas.

We are not only talking about working from home and not going to an office, but also about other flexible work policies such as working hours with reduced working hours, either days or hours.

Some organizations consider remote work as a permanent modality, not just a temporary palliative. One of these studies was conducted by UBITS, the largest corporate training platform in Latin America, where the study showed that more than 70% of the organizations interviewed consider implementing telecommuting permanently.

UBITS recommends us, to create a successful corporate flexible work policy, a series of short and precise steps, which would allow us to attract and retain collaborators in any organization:

  • Describe the purpose. It is important to clearly define the purpose of the flexible work policy, whether it is home office or reduced working hours.
  • Establish the scope of application. Sectors and departments involved or that will be affected at the time of implementing the policy.
  • Clarifies rules and responsibilities. Obligations, responsibilities, and duties to be complied with by those involved.
  • Determine what are the workspace and equipment requirements. Indicate the inputs provided by the company and inputs provided by the worker.
  • Establishes the communication channels and protocols: Means and procedures for both online and offline communication that must be complied with by the collaborators.
  • Guarantees the security of the information. It is especially important to establish a cybersecurity policy that guarantees the protection of corporate data and that personnel are trained to comply with this protocol.
  • Establish whether specific training in occupational health and safety is required. If the organization has a policy of breaks or active rest, it is important to publicize the activities, and the department in charge of monitoring should evaluate the participation of workers in the activities.
  • Clarify what would be the guidelines and confidentiality clauses. Workers and collaborators must abide by the confidentiality policy, both during and outside the workday, and it is recommended that these guidelines be explained in detail.

In addition, UBITS recommends that organizations keep in mind that when implementing the home office, it implies a change in the organization's policy, to be effective, it must have the support of senior management, leaders and workers, and finally, it recommends conducting a test, evaluate results and make the necessary adjustments before the final implementation.
